New fields were added to the Line Workbench in November 2025 release of Ascend AP. These fields can help verify Purchase Order and Supplier Contract line details.
New Line Status Fields
PO Line Status
A “PO Line Status” column is available in the Available Lines table when the document being processed is paired to a valid Purchase Order. When the document being processed is paired to a valid Supplier Contract, this column is titled “Line Status”.
A line status column is not displayed when the document being processed is a Credit.
Possible values include: Available, Canceled, Fully Invoiced, and Closed.
- Available: The line is open and ready to be matched to an invoice.
- Canceled: The line was voided by the buyer and cannot be used.
- Fully Invoiced: The total quantity or budget has been used; no balance remains.
- Closed: The line is finalized and no longer accepts new invoices.
New Quantity and Amount Fields
Five new columns have been added to the "Available Lines” section. Run an on-demand PO sync to get the latest invoiced and received data.
Tracking Quantities (Inventory Check)
Use these fields to ensure you are not paying for items you haven't received.
- Invoiced Qty: Shows the total number of items that have already been billed for this line.
- Received Qty: Shows the total number of items that have physically been received.
Tracking Amounts (Budget Check)
Use these fields to prevent overspending on a PO line.
- Remaining Amount: The funds left on the PO line (reflects the amount from the PO).
- Received Amount: The value of the goods received so far.
- Invoiced Amount: The total value already billed against this line.
Add All Active Lines
'Add All Active Lines' button allows you to bulk-pair lines while automaticaly filtering out Closed, Canceled, and Fully Invoiced statuses.
