Invoice In Motion: Emails Received

Users with permission to view Ascend’s email inboxes have a Received section on their dashboard. This metric shows the total number of received emails that are still being processed by Ascend’s recognition and prediction services.

Click on Received to view all emails and attachments sent to your Ascend AP inboxes during the last 31 days. This page lets you track the status of each email and its attachments, and view which attachments have been accepted, rejected, or are still processing.

 

View Received Emails and Attachments

You must have permission to view at least one Ascend AP inbox to view the Received section on your dashboard. User admin can edit your permissions.
 

On your Ascend AP Dashboard, click Received to show all emails sent to your Ascend AP inboxes within the last 31 days. Refresh the page to view the most up-to-date information. The first 100 records will show immediately, and the rest of the pages will load shortly.

Each email in this section has one of the following statuses:

  • Processing: One or more of the email attachments are still being processed by Ascend AP’s recognition and prediction services. Documents that are still processing are not yet available in My Invoices.
  • Accepted: All email attachments were accepted, and depending on settings, have been sent to My Invoices.
  • Partially Accepted: One or more of the email attachments were rejected.
  • Rejected: All email attachments were rejected.

To view the status of each attachment:

  1. Go to your Ascend AP Dashboard.
  2. Click Received.
  3. Click on an email link to open its details. From the email details, you can:
  • View the sender information and the email message.
  • Use the search bar to keyword search for an attachment.
  • Click on the attachment link to open the file preview (only for PDF, JPEG, and PNG files)
  • Click Download to download the attachment.

Each email attachment has a status to let you know if it was accepted by Ascend AP. Depending on your settings, emails that have been accepted are available in your My Invoices queue, sent to Human in the Loop for review, or automatically entered into Workday.

Rejected Attachments 

Attachments are rejected if they don’t meet Ascend AP’s basic file requirements or based on the following criteria:

  • Unsupported file attachment type (these can be based on your company’s file requirement settings)
  • Invalid file attachment (e.g. too large)
  • Attached file is password protected
  • Corrupted file, or file cannot be opened by Ascend’s processing services
  • Attached document met auto-rejection criteria set by your company
  • Attached document was manually rejected by a team member

Filter Received Emails


Use the search bar in the Received section to keyword search for a specific email. The available filter options depend on the documents currently in this section. To apply a filter:

  1. Go to your Ascend AP Dashboard > Received.
  2. Click the Filter icon .
  3. Choose one or more of the below filters. You can select multiple checkbox options:
  • Email Received Date
  • Received By
  • Sender Name
  • Sender Email
  • Number of Files
  • Email Status

Changes update automatically. To remove your applied filters, click Clear All Filters.

Customize Table Columns


You can customize your view by editing which email details show in the table columns. To edit your table view:

  1. Go to your Dashboard.
  2. Click on Received to open the page.
  3. Next to the search bar, click the Edit view icon .
  4. Select which columns you want to show. To show all columns, check Select All.
  5. Click Save.

Your changes update immediately. To return to the default column view, click Set to Default.

Change Email Inbox Visibility Permissions


Users who do not have access to the email inbox will not see the Received section on their Ascend AP dashboard.

Only User Admins can edit a user’s permissions to view the received emails. To edit visibility permissions:

  1. Go to Users>Manage Users.
  2. Find the user whose permissions you want to change.
  3. Click the Edit icon .
  4. Under Inbox Visibility, select which inboxes the user can view.
  5. Click Save Changes.
