Invoice In Motion: Managing Human in the Loop Documents

If your organization uses Human in the Loop (HITL) services, documents sent to your Ascend AP inbox are routed to the HITL team for processing. You can track which documents are currently being reviewed by HITL from your Dashboard.

If you have release permissions, you can release HITL documents to My Invoices for quicker processing.

View and filter Human in the Loop documents

The Human in the Loop section of the Ascend AP dashboard is only visible to organizations using Ascend AP’s HITL service. To view a document in this queue, it must also belong to your assigned document group.

To view and filter documents currently being processed by HITL:

  1. Go to your Dashboard.
  2. Click on Human in the Loop. This opens your organization's HITL queue.

  3. To filter documents, click the Filter icon   next to the search bar.
  4. Choose your filters. You can select multiple checkbox options and keyword search. 

Your filters update automatically. When you’re done filtering, click Clear All Filters to remove them.

Customize View

To choose which document details show in the Human in the Loop section, you can customize which columns show in the table view. To edit the view:

  1. Go to Dashboard.
  2. Click on Human in the Loop to open the page.
  3. Next to the search bar, click the Edit view icon .
  4. Select which columns you want to show:
    • To show all columns, check Select All.
    • To show only the default columns, click Set to Default.
  5. Click Save.

Your changes are applied immediately. Column selections automatically return to the default view when you leave or close this page.

Release documents to My Invoices

If a document is urgent and needs to be reviewed by your team before the average processing time ends, you can release documents to your My Invoices queue for processing.

You can only select and release documents in this section if you have release permissions.

To release a document to My Invoices:

  1. Go to your Dashboard.
  2. Click on Human in the Loop. This opens your organization's HITL queue.

  3. Select the checkbox next to the document you want to release. You can select multiple documents.

  4. Click the Release Documents icon .
  5. On the confirmation modal, click Release.

Documents will be removed from the Human in the Loop queue and will be available for processing in the My Invoices section. If any selected documents are in use, the release button will not be available.

Once you release a document from the Human in the Loop queue, it won’t be eligible for automatic entry. Make sure to carefully review the document before submitting it to Workday.

Documents in use

When the HITL team is working on a document, a lock icon shows next to it. You won’t be able to release that document while it’s in use. When the HITL team is done processing a document, depending on your organization’s settings, it may be automatically entered into Workday or may show in My Invoices.

Tip! If you can’t find an invoice in the Human in the Loop queue, make sure to check both My Invoices and Completed Invoices.

Give users permission to release documents

User Admin can give other users permission to release documents from the Human in the Loop queue. Before giving another user permission, make sure that they understand that releasing a document will remove it from the HITL queue and move it to My Invoices. This means that the documents may not have the expected header and line field validation.

Once a document is removed from the HITL queue, your team must process it.

To give another user release permissions:

  1. Go to Users>Manage Users.
  2. Find the user whose permissions you want to change.
  3. Click the Edit icon .
  4. Under Release Permissions, select Allow release from HITL.
  5. Click Save Changes.

Your changes update automatically, but the user with new permissions may need to refresh the page to see the release option.
